Summary

This article documents new features and changes in the current Laserfiche Cloud 2020.1, released on January 9, 2020.

Process Automation

Workflow

You can now start a workflow from within a workflow using the new Invoke Workflow activity. Create a chain of events, or simplify workflow designs by creating task-specific workflows that can be started from a master workflow.

Bots

Laserfiche Bots, also referred to Laserfiche Workflow Bots, use robotic process automation technology to let you easily configure software bots to automate repetitive, routine work between multiple systems. These bots work directly across application user interfaces, mimicking the actions a person would perform, including signing in and out of applications, copying and pasting data, and filling out forms.

New Features

  • The Create Token activity lets you create single value, multi-value, or table tokens from values collected by your bots.
  • The Exit Loop activity stops the For Each activity’s loop and then lets the bot continue.
  • The End Bot activity ends the bot with either a completed or terminated status. Both the Exit Loop and End Bot activities are useful inside If Condition activities so the bot can take different courses of action depending on whether certain conditions are met.
  • The Edit Token activity lets you append or replace values in a multi-value token or replace the values in a single value token.
  • The Find Application activity lets your bot locate applications that are already open on the machine the bot is running on. You can use regular expressions to locate windows and webpages with this activity.
  • The Keyboard Shortcut activity lets the bot send a keyboard shortcut to an application.
  • You can disable individual actions and activities in your bot so they are not run. This option is helpful while testing bots.
  • Generally, if an action cannot be performed because the bot cannot find the related element or because some other error occurs with the action, the bot will terminate. The Continue on Error option lets you skip the action if the element cannot be found or if an error occurs, and continue running the bot normally.
  • The description option lets you add comments to actions in the bot designer. Using descriptions helps keep you and others informed about what each activity is intended to do while building and maintaining bots.
  • When recording actions in Google Chrome, a new browser window will be opened giving you a clean environment to record in.
  • You can now apply regular expressions to single-value tokens with the Token Editor.
  • A new dedicated bot remote agent has been created for you. You will be prompted to migrate existing bots to this remote agent and install workers for it.
  • You can now run bots in administrator mode. This is often necessary if your bot is installing software, updating drivers, or changing system settings.
  • Bots can be imported and exported from the Manage page.
  • Recording snippets are automatically saved locally, and locally saved recordings can be imported with the Add Recording activity in the bot designer.
  • The monitor tab has been updated so you can search for specific instances based on a variety of criteria.

Updates and fixes

  • The disable and enable bot option have been removed due to changes in how bots are licensed.
  • The way bots are versioned now matches the rest of Process Automation.
  • BPM managers can no longer run bots.
  • The option to write secured data and to delete actions are both available in the action's overflow menu, where relevant.
  • You can now provide input parameter values when running bots locally.
  • You can now reopen a closed Action History by selecting "Open most recently closed action history."
  • The bot local tool is now automatically launched on startup.

Surveys

Create public surveys that can be completed by people outside of your organization, and be reported on with visual charts.

Capture Profiles

The Capture Profiles page now lets you filter by most recent, unpublished, and deleted profiles. You can also now view profile details such as who the profile was created by, when it was last modified, information being captured, and a preview of the profile's sample page(s).

Updates and fixes

  • When renaming tokens in a Run Capture Profile activity, the names are now updated in other locations in the workflow. (177096)
  • In the Capture Profile Designer, when using Firefox, right-clicking in the regular expression textbox and selecting "Select All" no longer selects all the text outside the regular expression textbox. (161337)

Data Management

Lookup tables are a fast and easy-to-use replacement for Entities, are now available within the Data Management section of Process Automation. Upload and update tabular data for use throughout Process Automation.

Custom Reports

Gain deeper insights into business processes by creating custom data visualizations, including line, pie, and bar charts.

Integrations

Microsoft Dynamics 365 CRM Custom Objects are now supported within the Integrations section, and accessible within a workflow via the Perform CRM Action activity.

Capture ProfilesRunning the Run Capture Profile Workflow activity with a profile that has previously been deleted does not notify the user there's an error. (178901)
Capture ProfilesBlank and duplicate token names can be added in the Run Capture Profile activity. This causes subsequent activities that use the Run Capture Profile activity tokens to behave incorrectly. (178870)
Capture ProfilesThe following token tags are not saved after selection in the Run Capture Profile activity: Address, Advanced, Currency, Deprecated, Group, Manager, Shortcut, Success, and User. (177363)
Capture ProfilesThe Read Barcode activity does not allow running checksum. Instead in includes checksum characters in the barcode value output. (110517)
Capture ProfilesWhen testing a Capture Profile in Internet Explorer 11, the text of the document flips upside down when collapsing the right pane. (163718)
Capture ProfilesIn the Capture Profile Designer, when creating a name for a new capture profile, Chinese characters are not supported. (123143)
Capture ProfilesCapture zones are not adjusted for images with different resolutions. (199233)
Capture ProfilesZones are drawn in the wrong (unrotated) location for rotated pages in the Test Results preview pane. However, the captured zone values are correct. (217322)
Capture Profiles Sorting the profiles in the Capture Profiles list by a column with a field containing "--" may not place those line items at the top or bottom of the list. (208430)
Capture Profiles Smart Invoice Capture Profiles do not work with with auto-classification. If auto-classification is selected in the Run Capture Profile activity in Workflow, the invoice capture profile will be removed from the collection of profiles to choose from. (220078)
Laserfiche App Pressing the Sync button does not inform the user if there is nothing to sync. (173803)

Documents

Direct Share

Laserfiche direct share allows you to share content from the Laserfiche repository with external users through the web client or mobile app. When you send documents through direct share, the recipient will receive a unique and anonymized URL that they can use to access the files for a limited period of time. You can add a password, and specify the number of days until the URL expires. The sender will receive notifications when the content was viewed, and they or a repository administrator can see the status of who shared it, with whom, and if and when it was accessed.

Search

The Laserfiche search interface has been updated to make it more streamlined and intuitive. Common search features can be accessed directly from the quick search bar, and a unified dropdown has made it easier to apply both built-in search filters and custom filters.

Laserfiche App

Direct share and business processes in Process Automation can now be accessed using the Laserfiche app.
