System Account

Previously, workflow processes connected to and made changes in your Laserfiche Cloud repository using a system account that was not configurable. Certain changes to entry access rights in the repository to an entry (e.g., removing rights from the "Everyone" security group) meant that the access rights of this system user were also affected. For example, a workflow is configured to modify a document in a repository and the "Delete" entry right was denied to the "Everyone" security group for that document. When Workflow attempted to make a change to an entry, it would receive an "Access denied. [9013]" error because it too was denied deletion rights to the entry in the repository.

A new system account called "ProcessAutomationUser" has been created to manage the entry access rights and privileges for process automation to your Laserfiche Cloud repository.

To switch to the new system account:

  1. Log in to your Laserfiche Cloud account as a user with rights to manage trustees, as a Process Automation administrator, and as a user with rights to set security in the repository.
  2. Allow the new system account "ProcessAutomationUser" access to the repository in Account Administration.
  3. Configure the entry access rights of the new system account "ProcessAutomationUser" within your Laserfiche Cloud repository, and verify field and feature right assignments in repository administration.
  4. Once those rights are configured, click the following URL to automatically switch over all connection profiles to the ProcessAutomationUser:
