Agenda Manager 8.0.2

Summary

Agenda Manager 8.0.2 is a maintenance release that includes miscellaneous updates and bundles hotfixes previously released for Agenda Manager 8.0.1. For more changes, please see Knowledge Base article 1012926.

Note: Agenda Manager 8.0.2 installation packages downloaded prior to May 3, 2012 can contribute to the issue discussed in Knowledge Base article 1012966. If you have the previous version of the installation package, please redownload the Agenda Manager 8.0.2 installation package.

Agenda Manager Components

Laserfiche Agenda Manager streamlines and automates the creation of meeting agendas. Staff members propose agenda items using a Web form and proposed items, along with accompanying reports or other files, are routed to the appropriate reviewers automatically. Once items are approved, the preparer can easily add them to the final agenda; the preparer can also remove or rearrange items in order to accommodate last-minute changes. When the agenda is finalized, the preparer can publish the final packet and distribute it electronically or post it online.

Agenda Manager includes the following components.

  • Agenda Manager Server: Runs as a Microsoft Windows service named Laserfiche Agenda Manager Service. Must be installed on the same machine as IIS.
  • Agenda Manager Microsoft Word Add-in: Enables users to create, modify, and publish meeting type templates, agendas, and agenda packets. Once installed, you will have an Agenda Manager menu item in Microsoft Word. Should be installed on all machines you want to be able to perform these actions on.
  • Agenda Manager Scanning: Enables users to scan documents as agenda item attachments. Once installed, you will have a Scan option when submitting an agenda item. Should be installed on all machines you want to be able to scan from.
  • Agenda Manager Web site: Most Agenda Manager tasks are performed via the Agenda Manager Web site (e.g., creating a meeting type, configuring users and groups, submitting items, approving/rejecting items, adding items to an agenda, downloading agendas). If configured properly, the Web site can be accessed by any machine on your network. Users must log in using a valid user name and password.

System Requirements

The most important factors in determining your system configuration are the number of simultaneous connections to the Agenda Manager Server, the quantity and size of your agendas (including attachments), and if your Web server will host other Web applications. Each of these factors should play a major role in determining the amount of processing power and memory that will be required.

All of the following components will work on 32-bit and 64-bit machines. All components will run as a 32-bit process.

Minimum Requirements for the Agenda Manager Server

  • CPU: 1GHz processor
  • Memory: 1GB RAM
  • Operating system: Windows XP, Windows Server 2003, Windows Server 2008 (R2), Windows Vista, or Windows 7.

Requirements for the Agenda Manager Microsoft Word Add-in

The system requirements for the add-in are those set forth by Microsoft Word 2003/2007. See the documentation associated with these products for more information.

The Agenda Manager Microsoft Word Add-in does not support Windows Server 2003 or Windows Server 2008.

Note: If you are using Microsoft Word 2003, you must use the version that is provided with Microsoft Office Professional Edition 2003 or the version that has been purchased as a standalone product. Other editions of Microsoft Word 2003 are not supported. All versions of Word 2007 are supported.

Note: When a user publishes an agenda, Agenda Manager will perform the task differently depending on the software installed on his/her machine. If either Adobe Acrobat Standard or Acrobat Professional is installed, these programs will be used to publish. Otherwise, FinePrint pdfFactory Pro, which is automatically installed with the Agenda Manager Microsoft Word Add-in, will be used. pdfFactory Pro is not supported on 64-bit machines or on machines running Windows Server 2003 or Windows Server 2008.

Requirements for Agenda Manager Scanning

  • Operating system: Windows XP, Windows Vista, Windows 7
  • CPU: 1GHz processor.
  • Memory: 512MB RAM.

Note: You must disable User Access Control (UAC) in order to install and use the scanning component on Windows Vista and Windows Server 2008. For help disabling UAC, search the Agenda Manager help files for "Disabling User Access Control."

Software Requirements

Requirements for the Agenda Manager Server

  • Web Server: IIS 5.0/5.1 (Windows 2000 and Windows XP Professional), IIS 6.0 (Windows Server 2003 and Windows XP Professional x64 Edition), IIS 7.x (Windows Server 2008, Windows Vista, Windows 7, Windows Server 2008 R2).
  • Note: IIS should be installed before the Agenda Manager Server.

Important: If you are hosting the Agenda Manager Web site on a 64-bit version of Windows XP or Windows Server 2003, you must configure IIS to run 32-bit web applications. However, be aware that IIS 6 does not support running 32-bit and 64-bit web applications concurrently on the same server. This means that enabling IIS to run 32-bit web applications will disable support for any 64-bit web applications.

To enable IIS 6 to run 32-bit applications on 64-bit Windows:

    1. Open a command prompt, navigate to "C:\Inetpub\AdminScripts" and run the following command:
    2. cscript.exe adsutil.vbs set W3SVC/AppPools/Enable32BitAppOnWin64 "true"

  • Database Management System: MSDE, Microsoft SQL Server 2000 (service pack 3 or higher), Microsoft SQL Server 2005, Microsoft SQL Server 2005 Express, Microsoft SQL Server 2008 (R2), or Microsoft SQL Server 2008 Express.

Requirements for the Agenda Manager Microsoft Word Add-in

At the minimum, Microsoft Word 2003 or 2007 is required. However, Agenda Manager must virtually print Microsoft Office files to PDF format in order to include them in the agenda packet. As a result, the corresponding Microsoft Office program (e.g., Word, Excel, PowerPoint) must be installed on the machine you are trying to publish the agenda from. As a best practice, install Microsoft Office on all machines that will be involved in the agenda publishing process.

Requirements for accessing the Agenda Manager Web site (including Agenda Manager Scanning)

Internet Explorer 6, 7, 8, or 9 (no other Web browsers are supported).

known Issues

  • When publishing an agenda packet with one or more items that contain large attachments, the publishing process may hang if the sum of all attachment file sizes is large. (84682)
  • 1012537 A "Violation of PRIMARY KEY constraint 'PK Delegates'." Error Occurs When Configuring Delegates in Agenda Manager 8. (56667)
  • 1012545 A "Some files can harm your computer." Warning Message May Occur When Editing An Attachment From the Agenda Manager Web Site. (57050)
  • FinePrint pdfFactory Pro, which is automatically installed with the Agenda Manager Microsoft Word Add-in and can be used to publish agendas, is not supported on 64-bit machines or on machines running Windows Server 2003 or Windows Server 2008. (56421) FinePrint pdfFactory Pro does not support links from an agenda item to the portion of the agenda packet that contains its attachments.
  • If you edit a template using the add-in, select Save Template to Agenda Manager, then close Microsoft Word, you will be prompted to save the template again. This prompt is unnecessary as you have already saved your template. (48689)
  • If you prepare an agenda using the add-in, then select Save Agenda to Agenda Manager, you will be prompted to save again if you choose to immediately publish the agenda. This prompt is unnecessary as you have already saved your agenda. (48689)
  • Once you have logged in to the Agenda Manager Server from the add-in, there is no method of changing the user you are logged in as, short of closing and restarting Microsoft Word. (22918)
  • Temporary files are sometimes not deleted from the user's temporary directory when they close Microsoft Word. (22576)
  • The order of the items in the Agenda Manager menu may occasionally be shuffled around. To reset the order of the menu items, delete the following file: C:\Documents and Settings\UserName\Application Data\Microsoft\Templates\Laserfiche Agenda Manager.dot. This file will be automatically recreated the next time you open Microsoft Word. (22777)
  • If your Windows firewall is disabled using Group Policy instead of being manually configured directly on the machine, Agenda Manager may incorrectly display a message box warning you that the firewall is enabled. If enabled, the firewall may prevent other computers on your network from communicating with the Agenda Manager Server. (22696)
  • 1011904 The Agenda Manager menu is sometimes not available in Microsoft Word 2003. When you attach multiple reports at the same time and you use multiple attachment methods, the attachment order may not be in the exact order that you specified. Attachments are first sorted in the following order: scanned documents, Laserfiche documents, then documents attached from disk.
  • Clicking the Submit Item tab when there are no meeting types results in an error page. (22986)
  • Agenda Manager does not prevent users from removing the Manage Users privilege from themselves. If an administrator is the sole user with the Manage Users privilege, removing the privilege from himself or herself can create a scenario where there are no user accounts with the ability to create or modify users. (22372)
  • 1011754 The scan button is sometimes not available when attaching files to agenda items.
  • You may not be able to download and open an agenda item attachment if its name contains a period. This is an Internet Explorer issue that prevents the browser from being able to determine the file's type. As a workaround, do not name agenda item attachments using periods. If you have already done so, manually rename the file when you download it and include the correct extension (e.g., Report 1.pdf) (49435)
  • If you attempt to use a backslash to name an agenda item's attachment, everything before and including the backslash will be dropped from the name. For example, attempting to name an attachment Test1\Test2 will result in an attachment named Test2. Note that this does NOT apply to the opposite slash (/), which works correctly. (49435)
  • 1011836 An "Error 1402" may occur when installing Agenda Manager.
