Configuring Security for Laserfiche Snapshot

Summary

Laserfiche Snapshot requires specific Laserfiche and Windows rights, in order to generate images and text files and store them in a Laserfiche repository. This article explains which rights are required to allow Laserfiche Snapshot to function properly.

More Information

There are two different times at which Laserfiche Snapshot needs access to a Laserfiche repository. The first time occurs when configuring default document properties. The second time occurs when storing files generated by Laserfiche Snapshot in a Laserfiche repository. In the first case, Laserfiche Snapshot needs to be able to retrieve information (i.e. template, volume, and folder structure) from the Laserfiche repository. This means that the user used to log in to the Laserfiche repository when configuring Laserfiche Snapshot needs sufficient rights to view those items. In the second case, Laserfiche Snapshot needs to be able to write information to the Laserfiche repository. In either case, the permissions required to allow Laserfiche Snapshot to function properly depends on the version of your Laserfiche installation.

Before you can configure security for Laserfiche Snapshot 6, you should be aware that it uses a utility called LFAssist to import files generated by Snapshot into the currently opened Laserfiche folder. LFAssist uses the permissions of the user currently logged in to Laserfiche to create Laserfiche documents from those files. Thus, you will need to grant sufficient permissions to the user that will be logged in to Laserfiche when LFAssist is started.

Laserfiche Snapshot 7 handles storing files in Laserfiche differently from version 6. It creates Laserfiche documents as soon as the print job is completed and the properties for the new document have been set by the user. Although files will be stored in a Laserfiche repository, it does not require the Laserfiche Client. As a result, it allows you to log directly in to the Laserfiche repository. The specified Laserfiche user must have sufficient rights to the volume where files will be stored, to create documents in the specified folder, and to set the desired field data.

Note: Both versions of Laserfiche Snapshot allow a Laserfiche user to generate image and text files from a Laserfiche electronic document. Under these circumstances, the user currently logged in to Laserfiche must have sufficient permissions to replace data in the selected electronic documents.

To configure security to allow Laserfiche Snapshot 6 to work with Laserfiche 6

  1. Grant the Browse, Write and Create access rights to each user that will be importing files generated by Laserfiche Snapshot.
    1. Log in to the Laserfiche Client as a user who has been granted the Supervisor role (e.g. Admin).
    2. Select the folder where files generated by Laserfiche Snapshot will be stored.
    3. From the Security menu, select Assign Rights.
    4. Make sure that the Browse, Write and Create access rights are selected for each user or group who will be importing files that have been generated by Laserfiche Snapshot.
    5. Repeat steps ii - iv for each desired folder.
  2. If field data will be assigned to documents created by Laserfiche Snapshot, then you should grant the Edit Fields feature right to the appropriate users.
    1. Log in to the Laserfiche Client as a user who has been granted the Supervisor role (e.g. Admin).
    2. From the Security menu, select User Manager.
    3. Select each user or group who will be importing files that have been generated by Laserfiche Snapshot.
    4. Make sure the Edit Fields feature right is selected.
  3. Make sure that the user logged in to Windows when Laserfiche Snapshot is running has rights to the folder that is used to store temporary files generated by Snapshot.
  4. If you are printing to a shared printer, make sure that the Windows user account assigned to the Laserfiche Snapshot service has sufficient rights to the designated temporary folder and to the following registry key:
    HKEY_LOCAL_MACHINE\SOFTWARE\LASERFICHE\Snapshot

To configure security to allow Laserfiche Snapshot to work with Laserfiche 7

  1. Grant the Browse, Write and Create entry access rights to each user that will be importing files generated by Laserfiche Snapshot.
    1. Log in to the Laserfiche Client as a user who has the Manage Entry Access privilege.
    2. Select the folder where files generated by Laserfiche Snapshot will be stored.
    3. From the Tools menu, select Access Rights.
    4. Make sure that the Browse, Write and Create entry access rights have been granted to each user who will be importing files generated by Laserfiche Snapshot.
    5. Repeat steps ii - iv for each desired folder.
  2. If field data will be assigned to documents created by Laserfiche Snapshot, then you should grant the Create and Edit field access rights for each desired field to the appropriate users.
    1. Open the Laserfiche Administration Console.
    2. Expand the appropriate Laserfiche Server item.
    3. Expand the Repositories item.
    4. Expand the appropriate Laserfiche repository item.
    5. Log in to the repository as a user with the Manage Metadata and the Manage Volumes privilege.
    6. Select the Templates item.
    7. Select the template that will be assigned to documents created by Laserfiche Snapshot.
    8. From the Action menu, select Security.
    9. For each user or group who will be importing files that have been created by Laserfiche Snapshot, make sure that the "Allow" item is selected for the Create and Edit field access rights for each desired field.
    10. Repeat steps vii - ix for each template that will be assigned to documents created by Laserfiche Snapshot.
  3. For each desired user, grant all volume access rights to the volume that will be assigned to documents created by Laserfiche Snapshot.
    1. Select the Volumes item.
    2. Select the volume that will be assigned to documents created by Laserfiche Snapshot.
    3. From the Action menu, select Security.
    4. For each user or group who will be importing files that have been created by Laserfiche Snapshot, make sure that all volume access rights (i.e. Read, Append Data, Write, and Create Documents) are granted.
  4. If you are using Snapshot 6, make sure that the user logged in to Windows when Laserfiche Snapshot is running has rights to the folder that is used to store temporary files generated by Snapshot.
  5. If you are printing to a shared printer, make sure that the Windows user account assigned to the Laserfiche Snapshot service has sufficient rights to the designated temporary folder and to the following registry key:
