Use the Expervision OCR engine with LaserFiche Quick Fields 6.2

Summary

The LaserFiche Quick Fields (version 6.2x) installation does not include the Expervision OCR engine. LaserFiche Quick Fields (version 6.2) introduced a new OCR engine called I.R.I.S. DRS 8.0. The I.R.I.S. OCR engine replaces the Expervision OCR engine that shipped with LaserFiche Quick Fields (version 6.0 and 6.1). This article explains how you may configure LaserFiche Quick Fields to use the Expervision OCR engine.

Note: The following procedure assumes that you have the LaserFiche Quick Fields (version 6.0 or 6.1) installation CD or that you already have it installed. If you do not have a qualifying version of LaserFiche Quick Fields, then you will not be able to perform this procedure.

In order to use the Expervision OCR engine with LaserFiche Quick Fields (version 6.2), you will need to upgrade from version 6.0 or preferably from 6.1. After upgrading Quick Fields, you will have both OCR engines at your disposal. You can configure each session to use the OCR engine of your choice. The following instructions step you through the process of making the Expervision OCR engine available in Quick Fields 6.2. Additionally, instructions are provided to configure your session to use the Expervision OCR engine.

Note: Processes that use the I.R.I.S. OCR engine can be easily identified. By default, the term "International" will be prepended to their name (i.e. International OCR and International Zone OCR).

Note: The Expervision and I.R.I.S. OCR engines can be used within the same session. However, if the same page is OCRed by two different OCR processes, only the text extracted from the last OCR process will be kept. This occurs because only a single page of text can be associated with a LaserFiche page. Multiple zone OCR processes, on the other hand, can be performed on the same page without overwriting data.

To prepare Quick Fields to use the Expervision OCR engine:

  1. Perform one of the following:
    • If you currently have LaserFiche Quick Fields (version 6.0 or 6.1) installed, then you should proceed to step 2.
    • If you currently have LaserFiche Quick Fields (version 6.2) installed, then you should uninstall it now. You should then proceed to install the LaserFiche Quick Fields version 6.0 or preferably version 6.1.
    • If you do not have LaserFiche Quick Fields installed, you should install version 6.0 or preferably version 6.1.
  2. Upgrade LaserFiche Quick Fields to version 6.2 or higher. This can be performed by simply running the LaserFiche Quick Fields (version 6.2x) installation. The installation will automatically detect that Quick Fields has already been installed and it will allow you to update your existing installation.
  3. After upgrading Quick Fields, you should make sure that each desired session has been configured to use the Expervision OCR engine. This can be performed through the procedures explained below.

To OCR documents using the Expervision OCR engine:

Note: If your session was already configured to OCR your documents and it has not been opened with Quick Fields version 6.2x, then you do not need to perform any additional steps. Your session is ready to OCR your documents using the Expervision OCR engine.

  1. Load the desired Quick Fields session.
  2. Expand the Session tree item.
  3. Expand the Class Manager tree item.
  4. Expand the Document Class tree item.
  5. Select the Image Processing tree item.
  6. Delete any International OCR processes listed under the Image Processing tree item.
  7. From the task pane, click the Optical Character Recognition link.
  8. Step through the Optical Character Recognition wizard.

Note: If the Optical Character Recognition link does not appear in the task pane, then the Expervision OCR engine is not properly installed. Please review the instructions listed above.

To perform zonal OCR on documents using the Expervision OCR engine:

Note: If your session was already configured to perform zonal OCR on your documents and it has not been opened with Quick Fields version 6.2x, then you do not need to perform any additional steps. Your session is ready to process your documents using the Expervision OCR engine.

  1. Load the desired Quick Fields session.
  2. Expand the Session tree item.
  3. Expand the Class Manager tree item.
  4. Expand the Document Class tree item.
  5. If you would like to identify documents using Expervision's OCR engine, then you should replace International Zone OCR processes with Zone OCR processes.
    1. Select the Identification tree item.
    2. Delete any International Zone OCR processes listed under the Image Processing tree item.
    3. From the task pane, click the Zone OCR link.
    4. Step through the Zone OCR wizard.
    5. Repeat steps iii and iv as needed.
  6. If you would like to extract text from your documents using Expervision's OCR engine, then you should replace International Zone OCR processes with Zone OCR processes.
    1. Select the Image Processing tree item.
    2. Delete any International Zone OCR processes listed under the Image Processing tree item.
    3. From the task pane, click the Zone OCR link.
    4. Step through the Zone OCR wizard.
    5. Repeat steps iii and iv as needed.

Note: Remember to use the data extracted by your Zone OCR (Image Processing) processes to name your documents, to determine where your documents will be stored, and/or to populate index card field data. These tasks can be performed by specifying the corresponding Zone OCR token as a part of the name, path, and/or field data. Note: If the Zone OCR link does not appear in the task pane, then the Expervision OCR engine is not properly installed. Please review the instructions listed above.
